Creating Digital Products from a Canonical Product
Step 1
- Go to a product. Make sure it does not already have a digital product attached to it.
- Scan over the product components (Components box).
- If there is a cover component and a guts component, ensure that it has a binding.
- Make sure there aren’t any anomalies (e.g. a complete component that is already digital).
- Make sure all components are present. For example, duets should have 2 parts.
Step 2
Click “Add New Derivative Product” and then Add New Digital Derivative Product from the top header of the product page.
You will now be prompted by a dialog to define the first/last page of content and the first/last page of music. We need to know the page of the PDF not the number printed on the page. This can be found at the top of the PDF viewer in the dialog.
It is important to note that “content” at the beginning of the publication means anything meaningful that is not the title page or blank. Dedication, table of contents, and performance notes are some examples of content.
The last page of music and last page of content refer to the end of the publication. In most cases there will be no content, but if, for example, an index or glossary exist this should be marked. Advertisements do not count as content and should not be recorded. The file will be trimmed appropriately to the specified last page number that is recorded here; if there are any questions about what should be recorded, please contact the development team for clarification.
Click “continue”
Pages outside of the content and/or music pages ranges will be truncated.
Step 3
Make sure there are no errors in a red box at the top of the page. Also ensure that the SKU has had a “D” appended to the end.
If these look correct, press Save.
If there are errors and you believe you can fix them, press the back button and start the process again. If you cannot fix the error, move on to the next product.
Step 4
Once the page loads, make sure the things you took note of in step 1 have changed appropriately.
- The new product should NOT have an Inventory, Gross Weight, or Net Weight anymore.
- The NAV Status Code should now be DIGITAL ONLY, the delivery method should be Digital.
- The last field of Category Format should now be Digital.
- The product should no longer have a UPC code if there was one in the print product.
The last things you need to verify are the components.
- All print components should have been converted to their digital counterparts. This should be evident in the light grey left border of each component.
- Double check that the assets look okay by expanding all components, and opening up each asset by right clicking on it and choosing “Go to asset.” You can now inspect the file in the preview tab.
Post-mortem
Take your time when first inspecting a product’s properties. As you repeat this process most of the fields will be a swift process – most likely you will be spending your time ensuring the components are correct. There could be errors that will arise from improperly configured components. Report products that need a little more attention.

Addendum for Custom Print
- We have modified the process slightly for custom print in that we will not be adding covers to the scores, however, the rest of the process is unchanged.
- In General, for Custom Print items, You will see a much greater range of quality in the visual appearance of the materials than you did in the print catalog, including handwritten scores and parts. This isn’t cause for concern. This is our archive of unedited works.
- Please place greater care on Step 1, point 6 – scan over product components. We will encounter products with incomplete components. The most common case will be products that ought to have score and parts, but only have a score in Chordata. (The opposite case is also possible, but less common.) Make note of these on the spreadsheet, and move on to the next SKU.
- If a product is missing a cover, and only a cover, that’s fine. The digital product can be created without a cover file.
- During Step 2 – Add digital derivative product. Please take a moment, before identifying first/last page of content, to verify that the PDF you’re looking at is the correct one for the product. Older CPs do not have SKUs on the score/parts. Check the PDF against the Composer/Arranger, Title, Subtitle, and Forces/Format/Function fields (Instrumentation may also be helpful in some cases, if that data is present). Be especially careful with things like piano reductions for concerti (making sure that it is the piano reduction and not a full score) and products with generic titles (String Quartet no. 1, Piano Trio no. 3, Violin Concerto, etc.). If the PDF does not match the Product, or if you’re unsure, Please DO NOT alter the record to match the PDF. Please just close the product record, make a note on the spreadsheet, and move on to the next SKU.
